A contract summary is the one-page version of an agreement that everybody actually works from: who it is with, what it is for, when it started, when it ends, what notice it needs, what it is worth, and who owes what under it. Nobody reads the twenty-page agreement again after signature; they read the summary or, if there is not one, they read nothing and guess. Writing a summary for each live contract is the cheapest thing a small business can do to its filing, and it is most of what a contract repository stores.

Fix the fields before you write any of them

A summary is only useful if every contract has the same one. Counterparty, what it covers, effective date, end date, renewal term, notice days, annual value, the person here who owns it, and where the executed copy lives. Nine fields, the same nine every time, or comparing two contracts becomes an act of reading.

Write the obligations as tasks with a name on them

The part of a contract that surprises people is never the price, it is the promise nobody tracked: a report due quarterly, a minimum volume, a notice you owe on a change. Each of those belongs in the summary as a thing somebody here owes, with a date and a person.

Keep the summary attached to the contract, not near it

A summary in a separate spreadsheet drifts from the agreement within a quarter and then quietly becomes wrong, which is worse than not having one. In TermsBird the summary fields are the record and the executed copy is attached to them, so there is only one version to be right.

Review it when the contract changes, not annually

What should a contract summary template contain?

The same nine fields for every agreement: counterparty, scope, effective date, end date, renewal term, notice period, annual value, internal owner, and a link to the executed copy. Add obligations underneath as dated items with an owner. Resist adding fields that only one contract needs.

Who writes the contract summary?

Whoever will be asked about the contract later, which is usually the office or operations manager rather than the person who negotiated it. Writing it is also the best check that somebody has actually read the agreement they signed.

How long should a contract summary be?

One screen. If it does not fit, the extra material belongs in the obligations list or in the contract itself. The whole value of a summary is that it can be read in the thirty seconds somebody has before answering a question.
