A contract termination letter is the document that ends an agreement on the terms the agreement itself sets, and almost all of its risk is in the date rather than the wording. Most business contracts require written notice a fixed number of days before the renewal or the end date, and a letter that is correct in every respect but sent a day inside that window does not end anything. It renews. So the useful thing about a termination letter is not a template, it is knowing when it has to be posted and having the contract in front of you when you write it.

Read the notice clause before you write a word

Find the number of days, whether they run from the renewal date or the end date, whether notice must be in writing, and where it has to be sent. Contracts differ on all four and the difference decides whether your letter works. If the contract is in TermsBird these are fields on the record rather than a clause you have to find.

Count backwards from the renewal, not forwards from today

Take the renewal date, subtract the notice days, and that is your deadline. Send well before it. The single most common way a termination letter fails is that it was correct and late, and there is no remedy for that other than another year of the contract.

Say four things and stop

Who you are and which contract you mean, that you are giving notice to terminate, the date the termination takes effect, and how to acknowledge. Nothing else helps. A termination letter is not the place to argue about the service, and anything else you add is something the other side can respond to.

Send it the way the contract says and keep the proof

If it says registered post, use registered post; if it names a person or an address, use that one. Then file the letter and the proof of sending against the contract itself, because the question in three months will be whether notice was given, and the answer needs to be a document rather than a memory.

What must a contract termination letter include?

The parties, the contract it refers to and its date, a clear statement that you are terminating, the clause you are relying on if there is one, the effective date, and a request to acknowledge. Sign it and date it. Everything beyond that is optional and most of it is unhelpful.

How much notice do I have to give to terminate a contract?

Whatever the contract says, which is why the letter starts with reading it. Thirty, sixty and ninety days are all common in business agreements, and the clause usually also says whether that period runs to the renewal date or the anniversary. There is no general rule that overrides the document.

What happens if I miss the notice window?
